Privacy Policy

Effective August 19, 2026.

1. Who We Are

Weldwood Studios is a podcast and video production studio at 45 E. Sherman St., Lebanon, Oregon 97355. Weldwood Studios is a registered assumed business name of Weldwood Universe LLC, an Oregon limited liability company, and Weldwood Universe LLC is the entity responsible for the information described here. This policy explains what we collect, why we collect it, and what we do with it, across weldwoodstudios.com and everything we do in the studio.

Recording people is our business, so this policy covers something most privacy policies do not: the audio and video of you and your guests. Section 4 is the one to read.

2. What We Collect

We collect information you give us, and a small amount that comes in automatically when you use the site.

When you contact us or book a session:

  • Name
  • Email address
  • Phone number
  • Business name and mailing address, when relevant to billing
  • What you want to record and when you want to record it
  • Payment details, handled as described in section 3

When you use the website:

  • Pages visited, time on page, and the site or search that sent you
  • Browser type, device type, and general location by region
  • Information from cookies and similar tracking technologies

We do not buy personal information about you from data brokers, and we do not sell yours.

3. Payment Information

Card payments are processed by our payment processor, not by us. What we keep in our own records is what you paid, when you paid it, and what it was for. We do not keep your full card number.

4. Your Recordings

Audio and video recorded in our studio is personal information, and we treat it that way.

  • It is yours. We hold your session media so we can produce and deliver your work. We do not sell it, license it, or hand it to anyone outside the people working on your project.
  • Everyone in the room. If you bring guests, their voices and faces are in that recording too. Telling them what the recording is for is your responsibility, and section 4 of our Terms and Conditions spells that out.
  • How long we keep it. We keep raw session media for at least 90 days after we deliver your finished files, and we may clear it after that unless you have arranged storage with us in writing. Finished deliverables we keep longer so we can re send them if you lose your copy. We are not your archive, so keep your own copy of anything you cannot afford to lose.
  • Marketing use. We do not use your recordings as examples of our work if you tell us in writing not to. Recordings involving anyone under 18 are never used in marketing without written permission from a parent or guardian.
  • Ask us to delete it. You can ask us to delete your session media at any time and we will, except where we have to keep a record for tax or legal reasons.

5. How We Use What We Collect

  • To schedule, run, and bill your sessions
  • To produce, edit, and deliver your work
  • To answer your questions and provide support
  • To send you information about your bookings and your account
  • To send marketing email, when you have opted in, with an unsubscribe link in every one
  • To understand how the website is used so we can improve it
  • To prevent fraud and to meet our legal and tax obligations

6. Who We Share It With

We share personal information only where there is a reason to:

  • Service providers who make the business run, such as our booking system, payment processor, email platform, hosting provider, and cloud storage. They may use it only to provide that service to us.
  • Platforms you ask us to publish to, such as your podcast host, YouTube, or social accounts, when publishing is part of what you hired us for.
  • Professional advisors, such as our accountant, where necessary.
  • When the law requires it, or to protect the safety and rights of people or property.
  • Anyone else you tell us to.

Our other brands are not third parties. Weldwood Marketing and Weldwood Publishing are assumed business names of Weldwood Universe LLC, the same company that operates Weldwood Studios. If your work moves between them, your information has not gone anywhere new.

We do not sell personal information, and we do not share your session recordings with anyone outside this list.

7. Cookies and Tracking

This site uses cookies and similar technologies to keep the site working, to measure traffic, and to support advertising. That includes analytics and advertising tools from third parties such as Google and Meta, which set their own cookies and are governed by their own privacy policies.

You can clear or block cookies in your browser settings. Some parts of the site may not work properly if you do.

8. Security

We use administrative, technical, and physical measures to protect the information we hold, including your session media. No system is perfect and no transmission over the internet is guaranteed secure, so we will not tell you it is. We will tell you promptly if we learn of a breach affecting your information.

9. Children

We do not knowingly collect information online from children under 13, and this website is not directed at them. We do work with students in person, including through our Podcasting 101 course for grades 6 to 12, and in those cases a parent, guardian, or school arranges the booking and gives permission. If you believe we hold information collected from a child under 13, contact us and we will delete it.

10. Your Choices

  • Ask what personal information we hold about you
  • Ask us to correct anything that is wrong
  • Ask us to delete your information, including session media, subject to records we must keep
  • Unsubscribe from marketing email using the link in any of it
  • Ask us not to use your work as an example of ours

Email us and we will handle it. We will not make you jump through hoops for any of these.

11. Links to Other Sites

Our site links out to other websites and to our sister brand Weldwood Marketing, along with the platforms our clients publish on. We are not responsible for the privacy practices of businesses we do not own. Read their policies.

12. Changes to This Policy

We may update this policy. When we do, we will change the effective date at the top and post the new version here. If a change materially affects how we handle your information, we will tell you directly.

13. Contact Us

Questions, requests, or complaints about privacy go to [email protected] or (541) 444-0902. We are at 45 E. Sherman St., Lebanon, Oregon 97355. The entity responsible for this policy is Weldwood Universe LLC.
